1. About this policy

Level 9 Reports Pty Ltd (ABN 70 700 989 993), operating the website www.melbournebuildingreports.com.au (“we”, “us”), provides building and pest inspections in Victoria.

This policy explains what personal information we collect, how we use it, and how you can access or correct it. We handle personal information in line with the Australian Privacy Principles.

2. What we collect

We only collect what we need to provide our services. This may include:

  • Contact details: your name, phone number, email address and postal address.
  • Booking details: the property address, the type of inspection, and your preferred date and time.
  • Access details: contact details for the selling agent, vendor, tenant or other person who can give us access to the property.
  • Payment details: payments are processed securely by Stripe. We do not see or store your full card number.
  • Inspection records: photos, notes and reports about the property. These can show people or belongings at the property, although we try to avoid this.
  • Communications: emails, text messages and notes of phone calls with you.
  • Website information: details you enter in our forms, and general website usage information (see section 7).

3. How we collect it

Usually directly from you, when you request a quote, book online, call or email us. Sometimes from someone acting for you, such as your solicitor, conveyancer or buyer’s agent, or from the selling agent when we arrange access.

4. How we use it

  • To prepare quotes and book inspections.
  • To arrange access to the property.
  • To carry out the inspection and prepare and send your report.
  • To send your Pre-Inspection Agreement, invoices and receipts.
  • To answer your questions and handle any complaint.
  • To ask for a review after your report is delivered.
  • To send occasional newsletters and updates (see section 6)
  • To meet our legal, tax and insurance obligations.

We do not sell or rent your personal information.

5. Who we share it with

We only share your information where it is needed to provide our services, or where the law allows or requires it:

  • Our inspectors, and our licensed timber pest inspector (a contractor) if you book a building and pest inspection.
  • The systems we use to run the business: GoHighLevel (bookings, email and SMS), Stripe (payments), My Inspection App (agreements and reports), Google Workspace (email and file storage) and Xero (accounting).
  • People you ask us to send your report to, such as your agent, solicitor or conveyancer. Your report is prepared for you, and we only give a copy to someone else if you ask us to.
  • The selling agent or vendor, limited to what is needed to arrange access (for example, your name and the inspection time).
  • Our insurers and legal advisers, if needed to deal with a claim or dispute.
  • Government agencies or regulators, where the law requires it.

Overseas storage: some of our service providers store data on servers outside Australia (for example, in the United States). We choose reputable providers with strong security.

6. Marketing

If you have contacted us or used our services, we may send you occasional emails with tips, sample reports and updates about our services. Every marketing email has an easy way to unsubscribe, and you can also ask us to stop at any time. Messages about your booking, report or invoice are not marketing and will still be sent.

7. Our website

Our website uses cookies and analytics tools (such as Google Analytics or marketing pixels) to help the site function properly and understand how visitors interact with our pages. This information is aggregated and does not directly identify you by name. You can disable cookies in your browser settings, though some website features (such as online booking forms) may not function fully as a result.

8. How we store and protect it

Your information is stored in secure, password-protected systems, and only our team can access it. We keep inspection records, agreements and reports for at least 7 years, as needed for legal and insurance purposes. After that, we securely delete or destroy them.

9. Accessing or correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it, by contacting us (section 11). We will respond within 30 days. We may need to confirm your identity first. In limited cases the law allows us to refuse access, and if so we will explain why.

10. Complaints

If you have a concern about how we have handled your personal information, please contact us first (section 11) and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
